Administrative Assistant

Requirements: 3+ years of office administrative experience, ideally in the construction industry; estimating experience is a big plus

GENERAL DESCRIPTION

  • Represent HS Solutions in a professional manner at all times
  • Become familiar with HS Solutions vendors, clients, staff, service lines, processes and procedures
  • Greet incoming visitors, customers, and vendors; always with excellent customer service
  • Answer telephone and transfer calls to appropriate staff members
  • Receive and distribute mail or similarly delivered packages, and manage drop offs for USPS, UPS and FedEx
  • Perform routine administrative duties such as copying, faxing, scanning, mailing and filing
  • Coordinate and direct office services, such as cleaning, supply ordering, office equipment maintenance, inventory tracking and parking-related items
  • Provide assistance to the HR Coordinator with resume review, screening, recruiting and other HR functions
  • Assist in maintaining weekly and monthly compliance reports; including first source reports, DC hourly reports and other miscellaneous documents
  • Record incoming service calls, monitor the progress and assist with invoicing completed jobs
  • Process vendor invoices for voucher payment
  • Assist in vendor and customer file maintenance

    SALES SUPPORT
    Support HS Solutions’ Sales Manager in all business development activities, including all administrative and documentation requirements
    Assist in the estimating and proposal process – engage in drawings/spec review, takeoffs, BOM creation, and proposal package preparation

     

    QUALIFICATION REQUIREMENTS
    Excellent interpersonal skills, good verbal and written communication
    Ability to organize and prioritize tasks in a fast-paced environment
    Ability to work independently and with teams
    Proficient in MS Office – Excel, Word and other office applications
    Strong overall computer skills
    Experience with construction companies is desired
    Desire to learn low voltage construction estimating
    Must be able to successfully pass a background check

     

    EDUCATION REQUIREMENTS
    At minimum, must be a high school graduate
    Associate or Bachelor’s degree in related field or business is desired, but not required

     

    PHYSICAL REQUIREMENTS
    Ability to lift up to 25 lbs
    Must be able to perform various physical activities such as lifting, walking and handling of materials
